A travel service connected with several countries can raise questions before the journey even begins: Who is the contracting party? Which services were actually booked? Which version of the terms applies? Preserve the contract documents immediately rather than waiting for a cancelled or changed service.

For package travel the pre-contract information and the later contract confirmation form an important basis. A single travel service or linked travel arrangements may be assessed differently. The cross-border element does not change that distinction but it often makes the allocation more demanding.

Which contract documents should you preserve first?

Start with the first enquiry or offer. Save the booking page as a PDF and keep the original email with all attachments. For a telephone booking record the date the contact person the services discussed and the price promised in a separate note.

Document multilingual contracts and terms correctly

A cross-border booking may contain an offer confirmation and terms in different languages. Save every version with its date source and file name. If the contract identifies one language version as controlling mark that clause for review.

Record a change or failure during the trip

Send a traceable complaint to the organiser

Describe a deviation from the contract with its date location and specific service. Identify the booking clearly and attach the key evidence. A factual message with a clear request for assistance is more useful than a general complaint without reference to the agreed services.

If you booked through an intermediary messages requests or complaints about the performance of the trip can generally also be sent to that intermediary. The intermediary must forward them to the organiser. To assess dates and limitation keep a record of when each message arrived.

Do not copy a deadline or demand from a template without checking the contract and legal basis. Preserve sending confirmation delivery notices and replies. For multilingual communication state the key point in a language that all relevant parties can understand.

Turn the documents into a clear next step
